Coastal Payroll is currently looking to hire an Office Administrator to provide comprehensive support to our organization. The ideal candidate will be adept at managing a wide range of administrative tasks, from office management responsibilities to coordinating employee engagement initiatives.

WHAT YOU'LL DO

  • Manage office responsibilities from on-site daily, such as maintaining inventory of office supplies, maintaining beverage inventory, acting as liaison for building management, and ensuring general office area is in working order
  • Greet all visitors to Coastal Payroll and follow all protocols related to welcoming guests and documenting their movement throughout the office
  • Provide high-level administrative support to members of the executive team as requested, such as company communications, reports, research, and special projects and tasks as assigned.
  • Coordinate travel arrangements and accommodations for leadership team including booking flights, hotels, and transportation as needed.
  • Organize and coordinate logistics for conferences and client engagements, including coordinating the catering and all other aspects of on- and off-site meetings and events.
  • Handle expense reconciliation for office purchases, employee engagement and recognition programs, travel/other logistics for conferences, meetings, and events.
  • Provide exceptional customer service to all clients, visitors, and employees.

WHAT YOU'LL BRING

  • Bachelor's degree preferred or equivalent work experience.
  • A minimum of 2-3 years of proven experience as an operational administrator or in a similar role.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Excellent written and verbal communication and interpersonal skills, with a professional and friendly demeanor.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Experience with event planning and coordination.
  • Flexibility to adapt to changing priorities and willingness to take on new challenges as needed.
